Accounting Manager
Job Description
Reporting to the CEO, this is the leader of the accounting/finance function and will have one direct report. This salaried position works a 32-hour per week schedule and is benefit eligible. After onboarding, one day per week can be remote and the rest onsite at their Eastover office in Charlotte, NC.
A collaborative team player, this role supports financial and risk management responsibilities, including managing the full-cycle accounting and the medical coding function. This is a key management position with tremendous growth opportunity.
Key Accountabilities:
Weekly
- Review and approve vendor invoices for payables processing
- Address day to day financial issues and decisions including cash management
- Manage medical coding function and monitor claims and revenue cycle management issues
- Maintain accurate Fiscal Year Cash Flow projection worksheet, making updates for salary and other changes throughout the year, providing insights on variances and trends
- Meet with CEO on regular basis for updates and key reporting
- Record online donations in QuickBooks using stripe reports
- Review QB activity and make corrections and support questions as needed
- Support donor and grant questions from development director
- Assist with A/R review
- Review and approve employee bi-weekly payroll submission, as needed
- Record bi-weekly payroll in QB from payroll firm/TriNet report
- Assist with recording stock donations in QB
- Assist in preparation of drug cost forecast
- Track grant spending and donor restricted net assets
- Review monthly revenue cycle management performance metrics and identify improvement opportunities
- Report and track in-kind donations as occurred
- Manage month-end close process, prepare monthly ACH activity worksheet, reconcile bank accounts, and post-close tasks checklist
- File online NC sales tax return (E-500) and make payment(s) for book sales
- Reconcile HOA Bank Accounts and assist with cash flow projections and other tasks as requested
- Partner with Medical Coding consultant to review emerging trends, claim denial activity and Provider educational opportunities
- Meet with CEO and Finance Committee to review Board package, cash flow
- Maintain and update forecast models in Excel
- Prepare Treasurer review package
- Prepare Board View financial reports and insert into Board deck
- Prepare and file NC Sales Tax Refund request
- Lead annual budget preparations including salary budget
- Enter budget in QB, prepare monthly cash projections for the upcoming fiscal year
- Close books and prepare for Financial Statement Audit, including cash to accrual adjustments; and preparation of Auditor requested workpapers
- Respond to Auditor requests, review audited financial statements
- Form 990 – respond to tax preparer requests; review Form 990
- CSL Renewal – assist as needed
- Prepare and File Form 1099s
Additional Duties, as needed
- Prepare / update Provider Profitability financial model
- Update salary budget for staff changes
- Special projects – may include building purchase, GUIDE, etc.
- HOA cash flow, other information needed for Board meetings
- Serve as backup for payroll processing, as needed
- Provide key information for grant requests
- Answer questions, assist team members with QB if needed
- Prepare / review process/procedures, e.g. inventory tracking
- Prepare Reports for bank
Qualifications:
- 5+ years of accounting experience.
- A minimum of 2-3 years in nonprofit accounting (Fund Accounting, Grant reporting, Form 990) and demonstrated experience managing the full-cycle accounting of a small – medium organization.
- 4-year degree in Accounting or related field required. CPA highly preferred.
- Strong technical expertise:
- QuickBooks, MS Office - Advanced Excel - including modeling, PowerPoint, Word, Outlook, Teams. Bill.com is a plus.
- Strong financial analysis experience, strong research experience.

Salary $85,000 - $90,000 based on a 32-hour per week schedule. Final determination of salary will be based on an evaluation of experience, education, budget, etc.
