Job Description
Hours: Part-time 16 hours per week (negotiable with potential for expansion to full time)
Reports to: Director of US Operations and CEO
Role: We are committed to making a meaningful impact in the Saint Rock community and are seeking a dedicated and detail-oriented Development & Operations Associate to join our team. This individual will play a crucial role in supporting our development efforts, managing donor relations, and ensuring efficient administrative operations. The Associate will work with a small, dedicated team in the US and interact with donors and volunteers of the organization.
Position Overview:
The Development & Operations Associate will be responsible for a variety of tasks related to fundraising, donor management, and administrative support. This role requires a blend of skills in development, bookkeeping, and database management. The ideal candidate will be organized, proactive, and have a passion for supporting nonprofit missions.
Key Responsibilities:
1. Donor Database Management:
- Maintain and update the donor database to ensure accuracy and completeness.
- Record and track donations, pledges, and fundraising activities.
- Generate and analyze reports on donor activity and fundraising progress.
2. Acknowledgment and Stewardship:
- Draft and send timely acknowledgment letters and receipts to donors.
- Follow Stewardship Plan for personalized donor follow-ups and appreciation.
3. Fundraising Support:
- Assist in the planning and execution of fundraising events and campaigns.
- Prepare materials for donor communications and outreach efforts including social media.
- Support the Development team with research and outreach to potential donors and sponsors.
- Schedule external donor meetings for CEO, staff, and board members.
4. Administrative Bookkeeping:
- Assist the Finance Manager to maintain accurate financial records related to donations and expenses.
- Work with Haitian staff to manage receipts from Haitian operations.
- Assist Finance Manager with monthly reconciliation and preparation of financial reports.
5. Filing and Documentation:
- Organize and maintain physical and electronic files related to donors, donations, and financial records.
- Ensure compliance with organizational policies and procedures for record-keeping.
6. Annual Audit and Accounting Reconciliation:
- Assist in the preparation of documentation and schedules required for the annual audit.
- Collaborate with external auditors to provide necessary information and address inquiries.
- Support the accounting and finance team in reconciling accounts and ensuring accurate financial reporting.
7. General Administrative Support:
- Provide administrative support to the US team, including scheduling meetings and managing correspondence.
- Take occasional meeting minutes for internal and committee meetings.
- Prepare and distribute documents and materials needed for committee meetings.•
- Assist with office organization and other tasks as needed.
- Monitor office phone.
Hourly rate: $ 22.00 per hour

Job Requirements
Qualifications:
- Bachelor’s degree in Nonprofit Management, Business Administration, Accounting, or a related field preferred or Associate/technical degree with previous experience in a similar role.
- Proficiency in donor management software (e.g., DonorPerfect, Salesforce) and Microsoft Office Suite (Word, Excel, Outlook) is a plus.
- Strong organizational skills with attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Demonstrated ability to manage multiple tasks and prioritize effectively.
- Experience with annual audits and accounting reconciliation is a plus.
- Comfort with learning new technology.
