The Events Coordinator will be a key member of the US events team, responsible for managing and coordinating all tradeshow assets. They will work alongside the event managers in developing the on-site branding for our large-scale events. In addition, this role will also collaborate with the AVP, Events Manager to execute conferences and sponsorships.
The ideal candidate will work closely with business leaders to understand and implement event requirements for the US region. Strong project management skills are vital to overseeing event logistics, including but not limited to budgeting, venue selection, contract negotiation, catering, audiovisual arrangements, and onsite support. With a meticulous, deadline-driven approach, the Events Coordinator will thrive in a fast-paced environment and deliver exceptional event experiences.
Key Responsibilities & Duties
- Oversee and coordinate all tradeshow assets in partnership with event managers and external vendors.
- Collaborate with the Events Managers to support events, conferences and sponsorships across the US region.
- Align event strategies with the US marketing go-to-market plan to support multiple distribution channels, including Wealth, Institutional, Retirement, and Insurance.
- Maintain a proactive and responsive attitude to address business partner needs at all levels.
- Track success metrics/KPIs, ensuring data is captured within Cvent and shared with relevant stakeholders.
- Ensure a positive and seamless experience for attendees, business partners, and team members.
- Handle all aspects of event planning and execution, including intake, scheduling, timelines, and onsite management.
- Adaptable to dynamic workloads and shifting priorities to meet project deadlines effectively.
- Maintain high-quality standards and a client-focused mindset in a fast-paced work environment.
- 1-3 years of demonstrated track record in event management
- Knowledge of CVENT platform
- Demonstrated track record in booth design and management
- Experience with lead collection
- Experience with exhibitor services
- Creation of invitations and event communications
- Excellent interpersonal, oral, and written communication skills
- Budget creation and management preferred
- Ability to dynamically manage multiple projects at once, including frequent unexpected requests, with efficiency, urgency, and patience
- Ability to collaborate with partners to foster a positive and supportive environment
- Expectation of travel and extended hours while on site (20-30% domestic travel depending on season, typically fall and spring)
- Degree: University degree preferred
