Executive & Personal Assistant
Job Description
This is not a reactive, task-only role. This is for a professional who is passionate about Executive Assistance as a career—and is also passionate about anticipating needs, adding polish and strategy, and making big goals achievable through thoughtful, logistical, and relationship-based support.
The role will be primarily remote, but require some in-office, in-person work, and occasionally work on a weekend or evening for events, key meetings. As such a candidate based in a reasonable commuting distance to New York City.
Core Responsibilities
Professional Support
- Manage complex calendars, appointments, and recurring priorities across time zones and commitments (business, teaching, philanthropy, etc.)
- Draft, format, and send correspondence—emails, outreach, follow-ups—on behalf of the Partner
- Research, prep, and proactively coordinate travel itineraries including hotels, flights, car services, dining, and meetings (business and personal)
- Support relationship management efforts by tracking key contacts, remembering milestones (birthdays, anniversaries), and planning thoughtful gestures or follow-up
- Assist with managing the Partner’s professional presence, including LinkedIn activity and speaking engagements
- Liaise with team members and external contacts on ongoing projects and confidential matters
- Handle logistics related to balancing life between two personal residences (NYC and Bermuda), including errands, deliveries, and vendor coordination
- Support with occasional minor project management
- Assist in coordination of family events, social gatherings, dinners, and philanthropic events
- Maintain reminders and planning for special occasions (birthdays, holidays, religious observances)
- Help incorporate wellness routines or appointments into a hectic schedule aligned with the Partner’s health goals
- Are deeply mission-driven, with an interest or appreciation for social impact, community engagement, and/or philanthropy
- Have strong discretion and can seamlessly handle confidential, high-level matters across private equity, personal life, and high-profile relationships
- Have a keen eye for detail, polish, and presentation—whether drafting an email or coordinating a dinner
- Are NYC-based or highly familiar with NYC logistics and vendors, even if working remotely
- Thrive on creating structure, using systems like Asana or similar project management tools to manage tasks
- Are intellectually curious and socially perceptive, able to anticipate needs and think three steps ahead
- Bring professionalism and presence—comfortable interacting with executives, investors, academics, philanthropists, and nonprofit leaders
- Are proactive, not just responsive; a partner, not just a task-doer
- Understand the rhythms of the Jewish calendar or Jewish community life, or are open to learning and supporting respectfully
- 3+ years in a senior-level Executive Assistant or Personal Assistant role
- Experience supporting C-suite executives or founders in fast-paced, high-profile environments
- Strong written communication skills (email drafting and editing a must)
- Experience in real estate, private equity, investment banking, or mission-driven organizations preferred
- Familiarity with Google Workspace, Microsoft Office, task management systems (e.g., Asana), and digital communication tools
- Able to work flexible hours, including occasional evenings/weekends depending on travel and events
- The Partner’s calendar runs like a well-oiled machine—prioritized, balanced, and aligned with strategic goals
- Relationships are nurtured thoughtfully—no missed birthdays, no forgotten follow-ups, and everything handled with polish
- Travel is seamless and meaningful - logistics handled, opportunities for connection maximized
- Time is optimized—so the Partner can focus on impact, leadership, and vision
