Executive Administrative Assistant

Job Description

Our client, a large telecommunications company, is seeking an experienced Administrative Assistant for a 6+ month contract-to-hire contract role in New York, NY.  This role will be hybrid.

Job Duties
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Maintaining comprehensive and accurate records
  • Performing minor accounting duties
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
  • Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters

Specific Responsibilities
  • Field all meeting requests, manage changes /movements, acceptances, conflicts etc.
  • Meet weekly or ad hoc with manager confirm priorities, concerns, etc.
  • Large group strategy meetings for internal to department and business unit
  • Schedule conf rooms for teams in NYC
  • Set up internal meetings with corporate touch points (Mobile, Data, Tech, Privacy, Strategic Alliances, BD)
  • Periodic support to do expense reports – basically review as in, handle issues /missing receipts etc.
  • Periodic help with travel arrangements
  • Follow up/track contract/NDA issue submissions to procurement.
  • Maybe 10-20 per year.
  • Coordinate location, meeting rooms, food /reservations as necessary for department team (of 12-14 people)
  • May ask for help in following up on some light /small project activity which may include meeting notes, action items, posting to shared sites, follow up with individuals on status.
General Skills
  • Various remote collaboration and meeting management software (Zoom, Webex, Teams, etc.)
  • Microsoft office – (word, ppt, outlook, one drive)
  • Project coordination skills (meeting notes, action items, follow ups)
  • Executive communications skills (ability to communicate efficiently with senior execs and other admins)
  • May work on special projects.
  • Strong communication skills and organizational skills are essential.
  • Word, some PowerPoint, and Outlook are critical.
  • 4+ years of experience.
Pay Rate- $29.68- $30.67/hour
