Job Description

Our client, a holding company located in Charlotte (SouthPark), NC is hiring an Executive Assistant to the CEO.

This is a full-time, direct hire opportunity working fully onsite.

ABOUT THE ROLE
The Executive Assistant has a humble servant heart and takes pride in serving as a true assistant to the CEO, consistently responsive and reliable, and handling everything in the executive's personal and professional life.
As a highly trusted assistant with strong executive presence, you'll manage complex stakeholders, anticipate needs, and bring order to a constantly changing and fast-paced schedule. You are intensely detail-oriented, proactively solve problems, and take pleasure in executing tasks efficiently, even on unpredictable, fast-moving days.
This role is not for everyone. The CEO moves fast and, in his own words, never shuts off. The ideal candidate is hungry, gritty, deeply driven, and fully committed to the role. You see this as a calling and a craft, not a 9-to-5. You match the CEO's pace, energy, and standards, and you take genuine pride in being the person who makes everything run. Above all, the ideal candidate is driven by the firm's faith, mission, and vision.
RESPONSIBILITIES
Executive Support
  • Maintain a high level of availability and responsiveness in support of a fast-moving executive, including evenings and weekends as the CEO travels, takes meetings, and works across time zones.
  • Maintain and manage high-volume, constantly shifting scheduling requests for the CEO: calendar management, appointments, meetings, calls, off-sites, board commitments.
  • Serve as the primary point of contact for internal and external stakeholders, relaying messages and inquiries with professionalism and discretion.
  • Handle incoming correspondence, emails, and phone calls, prioritizing and responding as necessary.
  • Capture follow-ups, commitments, and action items during meetings and ensure they are project-managed through to completion.
  • Prepare meeting agendas, materials, presentations, and summaries with accuracy and real-time note-taking.
  • Assist in drafting, formatting, and proofreading correspondence, reports, and other documents.
Event Coordination and Special Projects:
  • Support the planning and execution of special events: board meetings, team retreats, and the annual Shareholder Summit.
  • Assist in coordinating travel, scheduling, and preparation for company-wide meetings and gatherings.
  • Help run point on key company initiatives, cross-team coordination, investor updates, and portfolio-company needs, ensuring projects keep moving even when the CEO is in back-to-back meetings.
Personal Support:
  • Serve as a true personal assistant across the full scope of the CEO's life: personal tasks, appointments, meetings, and errands.
  • Coordinate personal and family travel and overall logistics (flights, ground transportation, restaurant bookings).
  • Order and coordinate the CEO's meals, including daily lunches, based on preferences and schedule.
  • Manage home and household needs, including vendors, repairs, deliveries, and scheduling.
  • Handle real estate needs and related coordination.
  • Manage returns, purchases, online orders, and general life administration.
  • Support family needs and logistics as they arise.
  • Coordinate incoming and outgoing bills and correspondence with the CEO's family office, tax advisors, and other partners.
REQUIREMENTS
  • Bachelor's Degree preferred, but not required
  • 4+ years of Executive Assistant experience or equivalent high-responsibility support role
  • Hungry, gritty, driven, and fully committed, with the stamina and mindset to match a CEO who never shuts off
  • Available on evenings and weekends as needed, given the CEO's travel and meeting schedule
  • Expert-level proficiency in technology and systems, including Microsoft Suite (Word, Excel, Outlook), Google Suite, email management, spreadsheets, and general business systems and tools
  • Based in Charlotte, NC
  • 25–35% travel: ability and willingness to travel with the CEO, including occasional weekends, for meetings, company visits, board meetings, and events.
  • Radically obsessed with being organized and thrives at crossing off a 'to-do' list
  • Excellent verbal and written communication skills
  • Strong time management capabilities
  • Thrives in a fast-paced, ever-changing, high-growth environment
  • Enthusiastic to be a part of a growing and scaling organization
  • Able to be flexible, adaptable, and quickly change priorities based on business needs
  • Strategic thinker, decision maker, and doer

  • Generous Health Benefits
  • 401K Match
  • HSA Contribution
