Senior Administrative Associate
Job Description
PRINCIPAL FUNCTIONS
The Senior Administrative Associate will provide support to the organization’s Advancement team. In addition to administrative duties, they will serve as a liaison between the Advancement and Marketing teams ensuring coordination of event scheduling, meeting cadence and deadlines. The successful candidate will be a positive self-starter and problem-solver and will utilize strong written and verbal communication skills to interact with fellow professionals, lay leaders, community members, and other key stakeholders. The Senior Administrative Assistant will assist with special organizational-wide projects and support needs across the agency.
ESSENTIAL DUTIES
- Assist Advancement team members with scheduling, correspondence, reporting, invoices, reimbursements, and other various administrative items
- Provide support for the Campaign Cabinet, Foundation Oversight Committee (FOC)
- Support organizational internal and external meetings including managing scheduling and meeting invitations, Zoom/Teams logistics, tracking RSVPs, creating name tags, preparing meeting minutes, ordering food if needed, etc.
- Create PowerPoint presentations, to also include data collection, information aggregation and other logistical coordination
- Maintenance of the Advancement team’s tools to operate the Entrepreneurial Operating System (EOS) including weekly issues list, agenda and scorecard and L10 meeting minutes
- Set up meetings with donors, fundholders, advisors, etc., and coordinate post-meeting thank you notes as needed
- Coordinate daily pledge approval process and manage collection of annual campaign statistics
- Upload and update Advancement related Playbook content
- Work in partnership with the Events Manager to oversee event registration and project management
- Serve as back-up reception for answering incoming calls, checking organization voicemail and staffing the front entrance/reception area
- Provide superior customer service, communication, and quick response time to internal and external constituents
- Assist with special organizational-wide projects and support needs across the organization.
QUALIFICATIONS
- Minimum 4 years of experience in an Administrative Assistant position.
- Strong technology skills including proficiency with Word, Excel, Outlook and PowerPoint. Salesforce or other CRM experience is a plus.
- Flexible, collaborative, and comfortable multi-tasking effectively in a fast-paced environment.
- Strong planning and prioritization skills and excellent attention to detail.
- Proven track record of problem-solving and meeting deadlines.
- Excellent written and verbal communication skills.
- A high degree of professionalism, confidentiality, and integrity.
- Strong interpersonal skills with the ability to positively and successfully interact with all members of the organization and external community.
- Availability to work a flexible schedule to include some evenings and weekends (events).
- Must have reliable transportation to attend community-wide meetings, events and programming.
- Marketing & communications experience a plus.
- Degree preferred, not required if work experience is strong.
Pay Rate: $30-33/hr.
