Office Administrator/Accounting Assistant (part-time)
Job Description
Overview
The role will coordinate office operations while providing administrative support to the management team.  The Administrator will work closely with the Chief Financial Officer, including general accounting, reporting, transaction processing, and special projects. They will report directly to the CFO.
Administrative Duties – approximately 70%
- Oversee the daily workflow and general office needs while providing administrative support to management team and staff.
- Manage correspondence with efficiency and compliance with company policies.
- Handle HR onboarding, termination processing, and maintain the HR Manual.
- Serve as liaison to IT Services and Payroll Specialists.
- Prepare agendas, make travel arrangements, and maintain calendars for senior management.
- Maintain office equipment and supply inventory.
- Maintain records, documentation, and files, particularly more complex or sensitive items such as employee files.
Accounting Duties -approximately 30%
- Maintenance of books and records for company and partners.
- AP/AR duties to include invoices and payments for customers and vendors.
- Process General Ledger transactions, daily cash and credit card reconciliations, and assist in financial reporting.
- Maintain historical financial statements and cash flows.
- Handle reimbursements, monitor lines of credit, and other general banking support.
- Assist CFO in special projects.
- Experienced with QuickBooks, ideally QuickBooks Online.
Requirements & Qualifications
- 3+ years of administrative experience required.
- 3+ years of general accounting / bookkeeping support experience - reporting, budgeting, invoicing, etc.
- College degree required.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with an ability to prioritize tasks and meet deadlines.
- Highly proficient with Microsoft Office Suite (Outlook, MS Excel, Word, PowerPoint, etc.)
- Proficient with QuickBooks/QuickBooks Online.
Pay Rate- $35.00- $38.00/hour. Â Final determination of salary will be based on an evaluation of experience, education, budget, etc.
