Job Description


Our client, a private equity firm, is seeking an Office Administrator for a direct hire position located in Charlotte, NC.

Overview:
This is an opportunity to join a successful and growing private equity investment firm as an Office Administrator supporting the investment professionals and playing a key role in office operations as a part of a five person administrative team. The successful candidate will be a team player who is self-managed and is able to multi-task and work cohesively with all levels of management within the firm as well as external executives and vendors. Candidates must be proactive with a disposition towards accepting new challenges while occasionally working under pressure.  Excellent time management, prioritizing and organization skills.  Should be adept at office technology and resourceful.

Responsibilities
  • Effectively manage extensive travel requirements for heavy travel investment professionals.  Manage all aspects of travel, coordinating schedules, monitoring flights, and associated expense management and reporting.  Effectively coordinate with other team members for group travel and communicate well with investment professionals.  Keep multiple executive schedules planned and coordinated.
  • Seamlessly organize group meetings both in offices and third-party locations. Effectively coordinate and manage third-party vendors.
  • Interface with portfolio company executives and advisory boards.
  • Efficiently manage schedule and calendar requests and be available to adjust to unexpected changes and requests. Proactively foresee and address potential scheduling conflicts. Work effectively to manage scheduling for board meetings and heavy investment-related travel.
  • Maintain positive attitude and demonstrate a commitment to excellence. Be easy to work with.
  • Proactively check in and offer help when needed.  Independently complete tasks.
  • Maintain effective relationships with third parties and portfolio company personnel and executives.
  • Manage projects effectively and take responsibility for sophisticated, long term tasks.
  • Maintain absolute discretion and confidentiality.

Experience:
Bachelor’s degree from a four-year college or university, as well as five years of working experience as a C-Level Executive Assistant, Office Manager or equivalent is preferred.
