Office Manager/Executive Assistant
Job Description
Seeking a detail-oriented Office Manager/Executive Assistant to support the CFO and manage various administrative tasks. This role requires exceptional organizational skills, proactive problem-solving abilities, and a positive attitude in a small team setting.
Responsibilities:
- Utilize IT skills to identify ways to enhance productivity for the CFO.
- Manage tasks using our online Project Management Tool (Kanban).
- Daily use of Excel to create, update, and maintain a variety of data.
- Handle confidential information with discretion.
- Assist CFO with administrative tasks: schedule meetings, prepare notes and meeting minutes, distribute mail from virtual office, manage calls, and handle general emails.
- Manage business and CEO’s personal insurance policies by collaborating with agent and CFO and maintain updated electronic records.
- Maintain details of CEO's personal property for insurance and estate purposes and participate in the selling and/or transfer of these assets.
- Aid in annual tax preparation, invoicing, and vendor liaison.
- Procure and manage supplies for remote employees.
- Manage Atlanta storage unit and inventory and assist remotely with units in California.
- Administer the donation process for CEO and private foundations.
- Thrives on exploring in-depth topics and enjoys diving down the rabbit hole of research and discovery.
- Demonstrates versatile skills across a wide range of responsibilities, making valuable contributions to various facets of the organization's operations (i.e., jack of all trades)
- Anticipate and fulfill CFO's needs.
- Possess strong communication skills, orally and written.
- Work independently, manage tasks efficiently, and take ownership.
- Juggle multiple projects and priorities while meeting deadlines.
- Maintain meticulous attention to detail and is comfortable working with numbers in detail.
- Enjoys being challenged and can adapt to changing conditions and high-pressure situations.
- Uphold service standards and collaborate as a team player.
- High School Diploma
- Minimum 3 years executive support, personal assistant, and/or administrative experience
- Proficient skills with Outlook and Microsoft Office suite, primarily Excel and Word
