Operations and Events Manager - Chief of Staff

Position Overview
The Operations & Events Associate / Chief of Staff is responsible for ensuring the smooth day-to-day operations of the organization while, as needed, supporting the administrative and operational needs of the foundation. This position works closely with the Executive Director and Foundation leadership team to support operations, events, communications, and donor engagement.
The ideal candidate brings exceptional organizational skills, the ability to manage multiple priorities with precision, and the confidence to interact effectively with internal teams, donors, and external stakeholders.
Key Responsibilities
Event, Program & Meeting Coordination
- Plan, organize, and execute programs and meetings ranging from small gatherings (approximately 10 attendees) to large-scale donor briefings, breakfasts, and community events of 100+ attendees
- Coordinate and oversee logistics: venues, catering, invitations, RSVPs, signage, name tags, photography, and post-event follow-up; ensuring every detail aligns with organization standards
- Manage meeting scheduling and maintain a comprehensive program calendar
- Prepare agendas, materials, and summaries for a variety of programs and meetings
- Assist with donor outreach and relationship management, including tracking donor communications, pledges, and contributions in the CRM
- Draft thank-you notes, donor updates, and follow-up correspondence
- Draft, design, and distribute newsletters, event recaps, and announcements using platforms such as Canvas or Mailchimp
- Support social media scheduling and ensure brand consistency across communications
- Maintain photo, video, and press archives for events and campaigns
- Coordinate with designers or vendors to produce event materials and donor collateral
- Maintain accurate and up-to-date data in CRM (e.g., Little GreenLight, Salesforce, or similar)
- Support pledge tracking, donation entry, and acknowledgment processes
- Segment contact lists for communications and events
- Generate regular reports for leadership and board meetings
- Ensure confidentiality and accuracy in handling sensitive donor and financial information
- Manage correspondence, scheduling, travel, reimbursements, and office logisticsÂ
- Prepare agendas, take meeting minutes, and track follow-up actions
- Maintain organized files, digital folders, and record-keeping systems for state-level compliance and reporting
- Track contributions and expenditures in compliance with Georgia campaign finance lawsÂ
 Required:
- 5+ years of experience in an administrative, communications, or event coordination role
- Excellent organizational and project management skills
- Strong written and verbal communication abilities
- Experience managing CRM or donor databases
- Ability to work in a fast-paced environment and maintain composureÂ
- Proficiency with Microsoft Office, Google Workspace, and design/email tools (e.g., Canva, Mailchimp)
- Experience designing and formatting materials so content is clear, polished, and visually engaging
- Ability to work occasional evenings and early mornings for events
- Experience in political, advocacy, or Jewish community organizations
- Familiarity with Georgia’s Jewish community and civic landscape
- Experience working in start-up, entrepreneurial environment
- Exceptionally organized, detail-driven, and proactive

- Composed under pressure with strong executive presence and interpersonal skills
