Job Description

Our client, a provider of world-class service in the property management business, is seeking a service focused, detail-oriented, and organized Part-Time Office Coordinator to support their property management operations with a new office located in the Buckhead area. Weekly hours will be Monday-Thursday 9-2, and the role will be on-site.

The ideal candidate will have excellent communication skills, both verbal and written, strong technical skills and aptitude, and a stellar work ethic with a “roll up your sleeves” outlook.
This role is crucial in ensuring the smooth operation of the office and providing exceptional service to clients. 

Key Responsibilities
  • General Administrative and Technical Support:
  • Answer and direct phone calls and respond to general inquiries.
  • Manage and respond to emails in a timely manner.
  • Compose and distribute client communications.
  • Maintain organized filing systems for both physical and digital records. Shift physical records and documents to digital to increase efficiency. 
  • Schedule appointments, coordinate meetings and facilitate conference calls utilizing MS Teams and/or Zoom.
  • Support travel arrangements, meals for the office, projects as needed.
  • Solid experience with Office 365: Outlook, Word, Excel, Teams; Zoom, iphone/Mac.
Property Management Assistance
  • Assist with tenant communications, including lease renewals, notices, and maintenance requests.
  • Help prepare and distribute property management documents, such as lease agreements and property listings.
  • Coordinate with maintenance manager and vendors for property repairs and inspections.
  • Support CFO with tracking, reporting on rent payments and outstanding balances as needed.
Office Management
  • Order and maintain office supplies and equipment.
  • Ensure the office environment is clean, organized, and welcoming.
  • May assist with basic bookkeeping tasks, including invoice processing and expense tracking.
Customer Service
  • Provide excellent customer service to property owners, tenants, and vendors.
  • Address and resolve tenant and owner inquiries and issues promptly and professionally.
  • 4-year degree or equivalent experience; 4+ years of office coordination/administrative support; experience in property management office support is a plus!
  • Technically savvy with proficiency in Office 365 (Word, Excel, Outlook, Teams), Zoom, and familiarity with property management software is a plus.
  • Customer service-oriented attitude.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Self-managed, strong work ethic and highly collaborative.
  • Strong attention to detail and problem-solving skills.
Pay Rate $25.00-$27.00/ Hour
