Trust Specialist
Job Description
The Trust Specialist works on a centralized team responsible for supporting private asset and trust administration functions, with a focus on servicing complex account structures and ensuring accurate and timely processing of client requests. This includes handling high-volume email requests and inbound calls, processing account onboarding, maintenance, money movement, and recordkeeping within defined service level agreements. Service is provided primarily via phone and digital channels, with no in-person client interaction.
This role is heavily focused on managing requests related to private asset and trust structures, including 8-cap and 9-cap transfer processes, ensuring accurate documentation, follow-up, and completion of transfers.
Responsibilities include coordinating across back-office operations teams, managing the end-to-end transfer process, and generating required new account documentation. The role also involves maintaining accurate records and ensuring all documentation is properly stored in an imaging and document management system.
Key Responsibilities and Duties
- Manage the setup, implementation, and ongoing administration of trust, estate, and private asset accounts
- Process and track account transfers, including 8-cap/9-cap structures, ensuring timely follow-up and completion
- Coordinate with internal operations and back-office teams to facilitate asset movement and account servicing
- Open new accounts and generate required account documentation and forms
- Monitor account activity, transactions, and cash flows for accuracy and completeness
- Maintain detailed records and documentation within imaging systems (e.g., SharePoint, Adobe)
- Ensure compliance with applicable policies, procedures, and regulatory requirements
- Create and distribute reports related to account activity, servicing metrics, and operational updates
Qualifications & Skills
- 3–5 years of financial services experience (banking, wealth, or trust/retirement operations preferred).
- Experience may come from either large or small financial institutions
- Knowledge of trust/retirement or complex account structures; 8-cap/9-cap or transfer experience a plus
- Experience with account onboarding, asset movement, and end-to-end transfer processing in a high-volume environment
- Strong attention to detail, organization, and ability to manage multiple time-sensitive requests
- Proficiency with Microsoft Office Suite and documentation systems, with overall strong comfort and adaptability using technology platforms and tools

Pay Rate: $34.77 – $36.77/hour
